StudBase

Terms of Use

Last updated: 30 September 2026

StudBase is operated by Gavin Oxley-Bryan, trading as StudBase. By creating an account you agree to these terms. If you do not agree to them, please do not use the service.

What StudBase is

StudBase is software for people who stand a dog at stud. It keeps your bookings, customers, stud dogs, paperwork, payments and agreements in one place. It is available at app.studbase.co.uk on any device you sign in on.

It is currently free to use, with no limit on what you keep in it. We may introduce charges in future. If we do, we will tell you before it affects you, and you will be able to export your data or close your account instead.

Your account

Agreements and paperwork

StudBase lets you write your own terms, fills them into an agreement with the booking’s details, and captures your customer’s signature. It is worth being exact about which part of that is ours.

We do not write your terms and we do not give legal advice. The wording your customer signs is wording you wrote. We provide the form, the details and the signature, and nothing in the document originates with us. Whether your terms are fair, lawful or enforceable is between you, your customer and, if it ever comes to it, a solicitor.

The same applies to anything the app suggests. Any starting wording offered in the app, and any list of topics on this website, is a prompt to help you write your own terms. It is not a template we stand behind and it has not been drafted for your circumstances.

An agreement records what it records. We do not verify that a signature was given by the person named, that the details entered are true, or that either party did what they promised.

Your data, and your customers’ data

What you enter about your customers stays yours. We hold and process it on your behalf so the service works, and we do not use it for anything else.

Because those records are yours, you are responsible for having a proper reason to hold them and for meeting your own obligations to the people they are about. Our privacy policy explains this in full.

Acceptable use

Please do not:

Availability

We aim to keep StudBase running and to look after your data properly, but we cannot promise it will always be available or free of faults. It may be unavailable for maintenance, or because something we depend on has gone down.

Keep your own copies of anything critical. Agreements and invoices download as PDFs precisely so you have them outside the app.

Liability

StudBase is provided as it is. To the extent the law allows, we are not liable for lost profits, lost business, lost bookings, or for any loss arising from the content of an agreement, from a dispute with a customer, or from decisions you make on the strength of what the reports show you.

Nothing here limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Nothing here affects your rights as a consumer where those apply.

Ending your account

You can close your account at any time. Doing so removes your data, other than anything we are required to keep. Download whatever you want to keep before you do, because it cannot be recovered afterwards.

We may suspend or close an account that breaks these terms, or where we are required to. If it is not urgent, we will tell you first and give you a chance to get your data out.

Changes

We may update these terms. If a change matters, we will update this page and the date at the top, and tell you in the app where it is significant.
