How it works
Once, in your own words.
Their details, their dog and your terms, already on it.
With a finger, on your phone, before the mating.
Download the PDF and send it over.
The copy they keep
Every agreement saves as a PDF with your business at the top, their details, your terms and their signature. Send it straight from your phone.
Every one stays in StudBase too, so you can pull an old agreement up whenever you need it, years later, on any device you’re signed in on.
Writing your terms
Most breeders’ terms cover the same ground. These are the questions to answer, not wording to copy. Write each one the way you’d explain it on the phone, and it will sound like you because it is you.
What the fee is, how many matings it covers, when it’s due, and whether it comes back.
Whether you offer a free repeat, what you need from them, and how long they have to claim it.
When to call you once she’s in season, and what happens if you’re already booked.
What you check and write down on the day, and again on a repeat.
What each of you will show the other, and when. Before the mating is the last point either side can walk away.
Only if she boards with you. What a night costs, and who pays if she needs a vet.
Registration can’t go ahead without your signature, so say how quickly you’ll do it.
What happens if you have to cancel, or your dog is unavailable when her season arrives.
That you’ll go through it together and sign before the first mating.
If you explain it on every call, it belongs in here.
Write them once and they come up on every agreement from then on. Change them later and anything already signed keeps the wording it was signed against.
The details come off the booking, so the contract fills itself in once the booking is on the record. If a buyer asks to see his health tests at the same time, those go out from the same place.
Why it’s built this way
I needed mine once.
A customer got in touch wanting their free repeat mating. My stud had passed away not long before, and I had no other dog I could offer them. I explained that.
They also hadn’t had their girl scanned at 28 days, which my terms ask for.
The next thing that happened was my bank account being frozen while they disputed the payment.
I sent the bank the signed agreement. It set out the 28 day scan, and it said I don’t refund where the dog has since passed away. The block came off.
Without that document it would have been my word against theirs, and the money would have gone back.

Nothing forces you to have one, and plenty of matings happen on a handshake. The reason I use one is that a customer once disputed the payment and had my bank account frozen. The signed agreement set out what we had agreed, I sent it to the bank, and the block came off. Without it, it would have been my word against theirs.
Both of you. It saves as a PDF you can send straight over by WhatsApp or email, and it stays on the booking in StudBase, so you can pull it up years later without digging through your phone.
Set your terms up once, and every booking after that gets signed properly.
